Responsibilities
Executive Operations
- Manage complex calendars, coordinate meetings, and arrange travel logistics for senior executives.
- Prepare meeting notes, reports, and internal documentation to facilitate informed decision-making.
- Maintain organized digital and physical filing systems for projects and executive initiatives.
- Anticipate operational needs and proactively manage priorities to optimize leadership time.
- Oversee the preparation and execution of key internal and external events.
Marketing & Brand Coordination
- Collaborate with internal teams and external vendors to support branding, digital, and creative projects.
- Assist with copywriting, social media scheduling, and content creation across multiple platforms.
- Ensure all marketing and visual assets align with company branding and messaging guidelines.
- Manage creative workflows for design materials such as flyers, email campaigns, and presentations.
Human Resources Administration
- Support the employee lifecycle, including onboarding, offboarding, and personnel documentation.
- Assist in coordinating recruiting initiatives, employee communications, and engagement programs.
- Maintain HR records and ensure compliance with internal procedures and state regulations.
- Collaborate with leadership to track team metrics and performance milestones.
Vendor & Contract Oversight
- Manage vendor relationships across various operational functions.
- Research and secure competitive bids, negotiate pricing, and monitor service quality.
- Coordinate renewals, payments, and resolve issues related to vendor contracts.
Qualifications/Requirements
- Proven experience providing executive-level administrative support in a dynamic environment.
- Exceptional organizational, multitasking, and communication skills.
- Proficiency with modern office tools such as Google Workspace, Microsoft Teams, and QuickBooks (or similar systems).
- Demonstrated ability to manage branding or marketing projects from concept to completion.
- Familiarity with HR coordination, vendor oversight, or office management is preferred.
- Strong attention to detail, professionalism, and discretion in handling sensitive information.
