Position Overview

A highly respected insurance agency is seeking an Executive Assistant to support the Chief Sales Officer. This role provides high-level administrative and strategic support, helping drive organization, follow-through, and execution across key sales initiatives. The ideal candidate excels in a fast-paced environment, proactively anticipates needs, and supports data analysis, technology tools, and presentation development. This individual will play a critical role in ensuring client interactions, events, and sales priorities are executed smoothly and on time, with an opportunity to grow into broader project coordination responsibilities over time.

Responsibilities

  • Provide high-level executive support to the Chief Sales Officer, including calendar, travel, meeting preparation, follow-up, and proactive priority management
  • Serve as a trusted execution partner and in-office point of connection, maintaining visibility into sales team activity and supporting communication across stakeholders
  • Navigate CRM and agency management systems (e.g., EPIC, Salesforce) and support data organization, reporting, and dashboard preparation using tools such as Power BI
  • Build polished, on-brand presentations and sales materials based on executive direction, including prospect decks, sales meetings, training content, events, and client communications
  • Plan and coordinate internal and external meetings, sales offsites, conferences, and high-touch client events, including venue research and logistics for events hosting
  • Manage client and team gifting, event materials, and experiential details with precision and timeliness
  • Track action items, timelines, and follow-through while creating systems that improve efficiency, execution, and visibility

Skills and Qualifications

  • Experience providing executive-level support to senior leadership in a fast-paced environment
  • Strong organizational, project, and time-management skills with exceptional attention to detail and the ability to manage multiple priorities
  • Confident, technologically savvy user of CRM systems, reporting tools, and presentation software, with strong presentation development and formatting skills
  • Values consistency, reliability, and professionalism
  • Excellent written and verbal communication abilities
  • Highly self-directed problem solver with strong follow-through and exercises sound judgment
  • Willingness to be in-office 4 days per week to support team connectivity and visibility

Salary/Compensation

  • Salary: $60K-$80K / 5% Bonus
