Client Administrative Assistant – Wealth Management

A boutique wealth management firm is seeking a highly organized and detail-oriented Client Administrative Assistant to join the team. This role is integral to enhancing the client experience by providing exceptional operational and administrative support to Financial Advisors. The position offers a dynamic environment where precision, professionalism, and client satisfaction are paramount.

 

Job Responsibilities:

  • Provide operational and administrative support to Advisors and Relationship Managers.
  • Schedule and coordinate in-person meetings and virtual conferences.
  • Manage tasks within client relationship management software.
  • Document and execute workflows, including meeting notes and database updates.
  • Process fund requests, account applications, transfers, and other client/account-related needs.
  • Respond to client inquiries with professionalism and efficiency.

 

Qualifications and Experience:

  • Bachelor’s degree preferred, or equivalent experience in a professional services or financial setting.
  • Minimum of 3 years in an administrative support role, preferably in financial services or wealth management.
  • Familiarity with client relationship management (CRM) software.
  • Proven experience managing client-facing tasks with a high level of accuracy and professionalism.
  • Experience supporting high-net-worth clientele preferred.
  • Strong organizational and time management abilities.
  • Exceptional written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to learn and follow established systems, processes, and workflows.
  • Positive attitude, resourcefulness, and strong problem-solving skills.
  • High attention to detail and commitment to excellence.
  • Dependable with a team-oriented mindset.

 

Compensation and Benefits:

  • Salary range: $55,000 – $70,000 (based on experience).
